Building management teams, including receptionists, will be the new frontline for ensuring the safety, security and wellbeing of visitors and staff to buildings.
Implementing a contactless visitor management experience will be key to helping them do their job and minimise risks.
Forge Bluepoint our cloud-based visitor management solution can be used by your buildings occupiers to invite visitors to a meeting by an email invitation with a unique QR code and health and safety information for your building.
This pre-planning of visitors will give awareness to reception and building management that the visitor is due. They can proactively plan for staff on reception to be at a level to cope with the number of visitors planned and they can ensure, if required, social distancing obligations are met.
Operating much like Advanced Passenger Information (API) used by airlines, pre-screening ensures that visitors provide up to date health information. Visitors can be pre-screened with a simple question and answer form. This customised form can form part of business as usual operations.
For sites that require visitors to be validated before their visit, we can make available an integration with IDPal that securely verifies visitors identification before they come to the building minimising contact onsite and saving time.
When a visitor arrives at the building the unique QR code they received on their invite can be used to check-in. Visitors can do this by scanning their QR code on a desk-mounted kiosk with the Forge Bluepoint interface or a free-standing kiosk in the reception area. A one-time use sticker label for identification can be produced or your building can require an ID check via the visitors’ phone.
For sites with entry turnstiles, Forge Bluepoint can facilitate smart access by integrating directly with the access control system so that visitors can enter the building by scanning their QR code from their meeting invite on their phone on the speed lane: secure and contactless.
Once the visitor is checked-in the host will be notified that their visitor has arrived and can instruct the visitor on the next steps, wait in reception for collection or use their QR code to enter through the speed lane.
This contactless experience will minimise interaction and ensure the safety of your reception and building teams, as well as staff and visitors.
With the uncertainty over timing for getting back to work ensuring you can implement something quickly will be key.
The great thing about Forge Bluepoint is there is no requirement for extensive hardware. Forge Bluepoint is accessible online and you can use your existing calendar to create appointments within the system. For access control integration there may be some retrospective fitting of QR readers to existing speed gates and Forge Bluepoint integrates with the main access control manufacturers.
Although visitor numbers to your building may be low for some time, Forge Bluepoint is not a short-term solution. When visitors numbers do start to pick up you will be prepared.
